A customer messages you on WhatsApp at ten at night to ask whether you have a slot on Thursday. If nobody replies until the next morning, there is a fair chance they have already written to another business. An AI assistant can cover that gap, but set up badly it does the opposite: it sounds like a robot, invents answers and puts off the very people you wanted to serve.

- Give fixed prices for bespoke work without clear rules. It can collect what you need so that you can quote.
- Handle sensitive complaints. A person is needed there, and quickly.
- Give professional advice on health, legal or financial matters, depending on your sector.
- Ask for sensitive data it does not need to answer the enquiry.
How to avoid sounding like a robot
- Let it introduce itself as what it is. An assistant for your business. It is more honest and, in practice, builds more trust than hiding it.
- Make it talk like you. Show it ten real messages of yours: the tone, how you address people and the phrases you use.
- Short messages. Nobody reads long paragraphs on WhatsApp.
- A handover to a person always within reach. Anyone who wants to talk to a human should be able to, without fighting the assistant.
